How to Set Up a WhatsApp Chatbot for Your Online Store in India (2026 Step-by-Step)
In this guide: You'll learn exactly how to set up a WhatsApp chatbot for your Indian online store — from getting WhatsApp Business API access to building your first automation flow and going live. No technical background required.
The Problem
A customer messages you at 11 PM asking "bhaiya, ye red colour mein hai kya?" You're asleep. By morning they've ordered from your competitor. This happens to Indian merchants hundreds of times a day — and it's entirely preventable.
The Solution
A WhatsApp chatbot answers instantly, 24/7 — in Hindi, English, or any regional language. It checks stock, confirms orders, sends invoices, and tracks deliveries. All without you lifting a finger.
What You Need Before You Start
Before setting up your WhatsApp chatbot, make sure you have:
- A Facebook Business Manager account (free to create at business.facebook.com)
- A dedicated phone number for your business WhatsApp (cannot be your personal number)
- Your business documents for verification (GST certificate, trade licence, or Udyam registration)
- A website or app (or a landing page at minimum) — Meta requires this
- A WhatsApp chatbot platform — we'll cover this in Step 3
Most Indian merchants are surprised to learn that setting up a chatbot doesn't mean coding anything yourself. The WhatsApp Business API is the backend plumbing — your chatbot platform sits on top and gives you a drag-and-drop interface.
Step 1 — Choose Between WhatsApp Business App vs API
This is the most important decision you'll make. There are two ways to use WhatsApp for business:
WhatsApp Business App (free, limited)
Download from the Play Store, add quick replies and away messages, manage from one phone. Works for very small stores (<50 orders/day) but has no real automation, no chatbot capability, and can only run on one device.
WhatsApp Business API (paid, powerful)
The API lets you build a real chatbot that handles thousands of conversations simultaneously, send proactive messages (order updates, cart recovery), integrate with your store, and run from multiple devices. This is what we'll set up in this guide.
For any merchant doing more than 30–50 orders per month, the API is worth it. Read our full WhatsApp API vs App comparison here →
Step 2 — Get WhatsApp Business API Access
There are two paths to get API access:
Direct through Meta (free but complex)
Go to developers.facebook.com, create a WhatsApp Business app, and set up a phone number. This gives you raw API access but no interface — you'll need to build everything yourself or use a third-party platform on top.
Through a BSP (Business Solution Provider) — Recommended
Companies like AI Shop Pilot are Meta-approved BSPs. They handle the API setup, hosting, and compliance for you. You get a ready chatbot interface within 24–48 hours. This is how 90% of Indian merchants set up their WhatsApp bots.
When going through a BSP, you'll need to submit your business verification documents. Approval typically takes 1–3 business days for Indian businesses with valid GST or Udyam registration.
Step 3 — Set Up Your WhatsApp Number
Your WhatsApp business number is separate from your personal number. Here's how to set it up correctly:
- Buy a dedicated SIM — Use a number that's never been registered on WhatsApp personal. A new BSNL/Jio/Airtel SIM works perfectly.
- Verify via OTP — Your BSP will prompt you to verify via an OTP sent to this number.
- Set your display name — This is what customers see. Use your store name (e.g., "Priya Sarees" or "TechZone India"). Meta reviews this — avoid all-caps or special characters.
- Upload your profile photo — Use your store logo at 640×640px minimum.
Important: Once a number is registered on the WhatsApp Business API, it cannot be used on the WhatsApp Business App simultaneously. Keep your personal phone on a different number.
Step 4 — Build Your Chatbot Flow
Now comes the fun part — designing what your chatbot actually does. Every good ecommerce chatbot needs these core flows:
Welcome Message
Triggered when someone messages you for the first time. Should greet them, introduce your store, and show a menu of options (Browse Products, Track Order, Talk to Human, etc.).
Product Discovery Flow
Lets customers browse your catalog, ask about availability, and see prices — all within WhatsApp. Connect this to your product catalog (covered in Step 5).
Order Confirmation Flow
After a purchase, automatically send: order ID, item list, total amount, expected delivery date, and tracking link. Reduces "where is my order?" messages by 70%.
Human Handoff Flow
When a customer asks something the bot can't handle, it transfers to a live agent with full conversation history. Always include this — customers hate being trapped in bot loops.
Abandoned Cart Recovery Flow
If a customer adds items to cart but doesn't checkout, the bot sends a friendly reminder 1 hour later, then a discount offer 24 hours later. See our full cart recovery guide →
Step 5 — Connect Your Product Catalog
WhatsApp's native catalog feature lets customers browse your products without leaving the chat. To set it up:
- Go to Facebook Commerce Manager → Create a catalog
- Add your products with photos, names, prices, and descriptions
- Link the catalog to your WhatsApp Business account in Meta Business Settings
- Enable "Product Messages" so customers can browse and add to cart within WhatsApp
For Indian merchants with large inventories, most BSP platforms let you sync your catalog automatically from Shopify, WooCommerce, or a CSV file — saving hours of manual work.
Step 6 — Set Up Message Templates
WhatsApp requires pre-approved templates for outbound messages (messages you send first, not replies). These are called HSM (Highly Structured Messages) and need to be submitted to Meta for approval.
Templates you'll need as an ecommerce store:
- Order Confirmation: "Hi {{name}}, your order #{{order_id}} for ₹{{amount}} is confirmed! Expected delivery: {{date}}."
- Shipping Update: "Great news! Your order #{{order_id}} has been shipped via {{courier}} with tracking {{tracking_id}}."
- Abandoned Cart: "Hi {{name}}, you left something behind! Your cart with {{product}} is waiting. Complete your order → {{link}}"
- Delivery Confirmation: "Your order #{{order_id}} has been delivered! Happy? Leave us a review → {{link}}"
Templates take 24–48 hours to get approved by Meta. Submit them as soon as you have API access so they're ready when you launch.
Step 7 — Test Before Going Live
Before turning your chatbot on for customers, test every single flow. Use a second phone or ask a friend to message your WhatsApp number and go through each scenario:
- New customer welcome flow
- Product inquiry → catalog browse → add to cart
- Order placement → confirmation message
- Tracking request
- "Talk to human" handoff
- Messages in Hindi/regional language (if applicable)
Fix any broken steps before launch. A chatbot that loops or gives wrong info is worse than no chatbot at all.
Common Mistakes Indian Merchants Make
- Using personal WhatsApp number: Once you go API, you can't use that number on the regular app. Always use a dedicated business number.
- Skipping the human handoff: Not every query can be automated. Always give customers a way to reach a human.
- Sending too many promotional messages: WhatsApp monitors engagement. If customers block you often, Meta can ban your number. Limit promos to 1–2 per week.
- Not testing in Hindi: If your customers message in Hindi, test that your bot responds correctly — especially for menu options and quick replies.
- Ignoring template approval timelines: Submit templates before you need them, not on launch day.
How Long Does Setup Take?
With a good BSP platform:
- Day 1: Sign up, submit documents, start API onboarding
- Day 2–3: API access approved, number verified
- Day 3–4: Build chatbot flows, submit message templates
- Day 5–6: Templates approved, catalog connected
- Day 7: Test and go live
Most Indian merchants are live with a fully functioning WhatsApp chatbot within 5–7 days of signing up.
